Best practices for viewing proposals

The Proposals and Activities page in Microsoft Office Project Web Access (PWA) shows all proposals that you have permissions to view. Depending on your configuration and how your organization uses proposals, the list can become quite long. Because the Proposals and Activities page provides complex functionality for working with proposals, exceptionally long lists of proposals can take a long time to render.

For best efficiency in organizations that use large numbers of proposals, we recommend using Resource Breakdown Structure (RBS) to filter out proposals that are not relevant to a given user. Alternatively, you can create a filtered view of proposals on the Project Center page instead of using the Proposals and Activities page.

Use RBS to filter the proposals on the Proposals and Activities page

As a general best practice, we recommend that you use RBS to organize the projects and resources in your Microsoft Office Project Server 2007 deployment. The RBS hierarchy that you create can also be used to filter the proposals that are listed when you access the Proposals and Activities page. Use the following settings in the My Projects category to filter the Proposals and Activities page based on RBS:

  • The The Project Owner is a descendant of the User via RBS check box filters the Proposals and Activities page to show projects that you own and those owned by people who report to you per the RBS schema.

  • The A resource on the project’s Project Team is a descendant of the User via RBS check box will filter the Proposals and Activities page to show projects that any of the people who report to you per the RBS schema are assigned to.

By using one or both of the above options, you can limit the number of proposals displayed on the Proposals and Activities page by showing only those projects that a given project manager is directly involved with.

If selecting both of these options causes the Proposals and Activities page to run slowly, try clearing one or the other, depending on your business needs.

Use a custom view in the Project Center to filter on proposals

While the Project Center page does not give you all the functionality of the Proposals and Activities page, it can offer an easier and more straightforward way of listing large numbers of proposals. You can create a custom view that displays only proposals and filters everything else out of the list.

A custom view that displays proposals runs faster than the Proposals and Activities page, and we recommend it for optimal performance when viewing long lists of proposals.

To create a custom view on the Project Center page that shows only proposals, create a new view under Manage Views in Server Settings, and filter on Project Type = 4.
